Vendor Terms & Conditions
By submitting this application and, if accepted, participating in the 2026 Starfall Market, I acknowledge and agree to the following:
- Application & Acceptance: Submission of this application does not guarantee acceptance. Vendors are selected based on available space, event fit, product variety, and potential duplication with other vendors. Organizers may approve an application with reasonable limitations on specific products or product categories.
- Vendor Fee: If accepted, the vendor fee is $100. No payment is due with the initial application. Approved vendors will receive payment instructions.
- Starfall Ball Terms: The $100 vendor fee includes one admission ticket to the Starfall Ball. The included ticket has no separate cash value, and choosing not to use it does not reduce the vendor fee or create a credit or refund.
- Additional Starfall Ball Ticket: Approved vendors may request to purchase one additional Starfall Ball ticket for $100. Requesting the additional ticket on this application does not guarantee or issue the ticket. The additional ticket is confirmed only after vendor approval and receipt of the applicable payment. All attendees must be 18 or over.
- Vendor Space: Each vendor receives a 10' × 10' space. All tables, merchandise, displays, signage, and equipment must remain within the assigned space unless prior approval is received from the event organizers.
- Equipment & Electricity: Vendors are responsible for providing their own tables, displays, payment-processing equipment, extension cords, and other booth materials unless otherwise approved. Electricity and other requested accommodations are not guaranteed and must be approved in advance.
- Setup & Market Hours: Vendors must follow all arrival, unloading, parking, setup, and breakdown instructions provided by the organizers. Booths must be completely set up before the market opens at 9:00 AM, and vendors are expected to remain set up through 1:00 PM unless an emergency occurs or prior approval is received.
- Products & Merchandise: Vendors should primarily offer the products disclosed and approved through their application. Organizers may require the removal of products or displays that are undisclosed, substantially duplicate restricted categories, unsafe, illegal, counterfeit, inappropriate for the event, or inconsistent with venue requirements.
- Food & Beverage Vendors: Food and beverage vendors are responsible for determining and complying with all applicable health, food-handling, cottage-food, permitting, labeling, and other regulatory requirements applicable to their products and operation.
- Taxes & Business Requirements: Each vendor operates as an independent business and is responsible for all applicable licenses, permits, sales taxes, reporting requirements, payment processing, and other obligations associated with their business.
- Vendor Property: Vendors are responsible for their own merchandise, equipment, displays, cash, electronic devices, vehicles, and other property. Frontier Exchange Co., Meet Me In The Stacks, Adelphos Cellars, and their representatives are not responsible for lost, stolen, misplaced, unattended, or damaged vendor property except as otherwise required by law.
- Property Damage & Safety: Vendors are responsible for safely securing their booth, displays, cords, equipment, and merchandise and for damage caused by themselves, their employees, assistants, guests, equipment, or booth setup, to the extent permitted by applicable law.
- Booth Transfer: Vendor spaces may not be transferred, shared, resold, or sublet without prior approval from the event organizers.
- Vendor Conduct: Vendors and their booth staff must behave professionally and respectfully toward guests, other vendors, venue staff, and event organizers and must comply with reasonable event and venue instructions. Serious or repeated rule or safety violations may result in removal from the event.
- Event Changes: Event organizers reserve the right to reasonably modify event schedules, vendor placement, setup procedures, or other operational details and may postpone, relocate, or cancel the event due to severe weather, emergencies, venue issues, safety concerns, government restrictions, or other circumstances beyond their reasonable control.
- Cancellation & Refunds: If the market event is rescheduled, the Starfall Ball tickets are still valid. If the event is canceled by the organizers and is not rescheduled, vendors will receive information regarding any applicable vendor-fee refund. Additional Starfall Ball ticket purchases are subject to the Ball's applicable ticketing and refund policies.
- Photography & Promotion: Photographs or video may be taken during the event for documentation and promotional purposes. Any permission to specifically tag or identify a vendor's business in promotional content will be based on the vendor's preferences. Please ask other vendors before tagging them in your promotional content.
By checking the agreement box on the next page and electronically signing this application, I confirm that I have read, understand, and agree to these Vendor Terms & Conditions and agree to comply with them if accepted as a vendor.
