  • Code of Conduct

    GSYO offers a wonderful opportunity for young musicians to develop their skills and learn about being part of an orchestra. An orchestra is a team that needs every player to pull their weight. To accomplish this all musicians must be committed to the program and adhere to the following:

    • Appropriate behavior and discipline during rehearsals and performances.
    • Full attention to the conductors and respect towards conductors, coaches, staff, volunteers, private property and fellow musicians.
    • Receive regular and ongoing private instruction on orchestral instrument.
    • Arrive prepared for rehearsals: practice at home, work with private teachers on music as needed.
    • Arrange activities to avoid conflicts with rehearsals and concerts.

    There is a zero tolerance policy with regard to the use of drugs and alcohol, smoking, and other illegal activities, and any form of harassment towards students and staff, both from GSYO students and their families.

  • Demographic Information

    GSYO is collecting this information to fully understand the make-up of our student population and to better serve our community. This is also incredibly helpful when applying for grants. We thank you for your participation.

  • Attendance Policy

    1. Students are expected to attend all rehearsals, arriving promptly and ready to play at the appointed time.
    2. Students who are ill should submit an Absence Notification through the GSYO Website no later than the morning of their expected absence. All regular rehearsal conflicts should be reported, in writing, to the Orchestra Assistant at least two weeks prior to the conflict. For progress check, dress rehearsal or concert conflicts, an Absence Notification must be submitted through the GSYO website by the second rehearsal of the affected concert set.
    3. Students are expected to attend all concerts.
    4. Members of Camilla Kolchinsky Orchestra are required to attend progress checks.
    5. Within a concert sequence, any musician who misses more than two rehearsals, or misses a dress rehearsal, progress check or concert, will be evaluated on an individual basis by the staff, and may be subject to the consequences listed in item 7 (below).
    6. Students who are active in school bands and orchestras should submit their school concert schedule, in writing, as well as the School Music Form to the Orchestra Assistant by September 9. GSYO supports school programs, and will work with each student to support their commitment to school music programs.
    7. Infraction of the above rules may result in demotion in section, dismissal from a concert, re-auditioning for the conductor, or dismissal from the orchestra/ensemble. Students who miss concerts may be required to reimburse GSYO for a replacement musician.
    8. Members of Camilla Kolchinsky Orchestra are required to attend the August Allegretto Retreat, August 22 – 24, 2025.

  • Seating Policy

    The conductor approves seating decisions after auditions and in consultation with coaches. Rotation within sections will be used whenever possible, at the conductor’s discretion, in order to give qualified students an opportunity to play in a higher seat.

    Excellent attendance and attentiveness during rehearsals will be considered when placing students of comparable ability. In addition, attitude and leadership skills will be a consideration for principal positions.

    All issues or inquiries regarding seating audition results or a musician’s placement in the orchestra should be directed to the GSYO Office.

    Note: Under no circumstances should any parent or musician directly contact a conductor or coach on the subject of seating. Anyone in violation of this policy may be subject to dismissal from the orchestra/ensemble.

  • Media Notification


    As pertains to GSYO Rehearsals, Concerts, and Camps: Golden State Youth Orchestra (GSYO) and its designated volunteers photograph and record GSYO rehearsals, concerts, camps, and other official GSYO events. These photos/videos are for archival as well as marketing purposes (website, print, and social media). The content will not be sold and minors will not be identified without prior consent from a parent. If there is concern about this practice, please contact the Office at info@gsyomusic.org.

  • Season Minor Waiver

  • I, the parent or guardian of {musicianName}, agree to allow said minor to participate in all rehearsals, concerts, and related activities of the Golden State Youth Orchestra during its 2025-2026 Season.

  • I understand that such participation required mine and my child's cooperation with the staff and/or volunteers in charge; that my child will abide by the GSYO code of conduct; and that I will not hold GSYO responsible for any lack of cooperation or willful misconduct on my child's part that results in injury, damage, or loss of any kind. I understand that my child must obey the following safety rules during any GSYO activity:

    1. Student will not leave the room during rehearsals without the permission of a responsible adult in charge, including visits to the restroom.
    2. Student will not engage in any behavior that may cause harm to another person or private property.
    3. Student will stay close to the rehearsal area during breaks, and will not leave the area without permission during the break time.
    4. Student will return promptly to the rehearsal at the end of break time.
    5. Student will not accept a ride home from another member without the permission of their parent(s); student will not walk/bike home without parental permission.

    In case of emergency, I understand that every effort will be made to contact me. In the event that I cannot be reached, I hereby give my permission to the hospital and or physician selected by the adult in charge to secure proper treatment for my student, including paramedic services, hospitalization, anesthesia, surgery, and injections of medication.

    In return for the benefits such minor will receive from participation, I agree not to sue and hereby release and agree to hold harmless the Golden State Youth Orchestra, its employees, staff, and any volunteers working with the Association for and from liability and responsibility, except for any loss or injury caused intentionally or by willful misconduct.

    The release is intended to protect the Golden State Youth Orchestra, its employees, staff and any volunteers working with the Association from claims of negligence (the failure to use reasonable care). However, it is not intended to exempt them from responsibility for their willful or intentional injury to the person or property of another.

    I have carefully read this agreement and fully understand its contents. I am aware that this is a release of liability, hold harmless agreement, and assumption of risk agreement and that it is a legally binding contract between the Golden State Youth Orchestra and me. I further understand that this release is binding on my heirs or anyone making a claim. I sign of my own free will.

  • Allegretto Retreat: August 22-24, 2025

  • The Allegretto Retreat is required for ALL members of the Camilla Kolchinsky Orchestra. Accompanying the students will be parent chaperones, CKO Conductor Dr. Yun Song Tay, coaches, and Orchestra staff.

    The retreat is fundamental not only to the quality of the overall program, but to each student’s individual progress. It is the first step towards a rewarding season. The musicians are scheduled for sectionals and full orchestra rehearsals where they are expected to work diligently and to achieve their potential.

    What is Provided at Retreat

    A dorm room, all meals at the cafeteria and transportation by chartered bus will be provided. All beds are singles. Each dorm room contains two or three beds. 

    Retreat Departure /Return

    Musicians will meet at Union Presbyterian Church of Los Altos parking lot on Friday, August 22, 3:45pm. Students will be transported to UCSC by bus and will return around 1:45pm on Sunday, August 24. Be sure a ride is arranged for pick-up on the 24th!

    All students must travel on the GSYO bus, or be dropped-off at UCSC by a parent or other responsible adult. No student will be allowed to keep or use a vehicle during the retreat. Parents are expected to check that no alcohol or any illegal substances are packed in the student’s belongings.

    Retreat Chaperones: GSYO needs parent chaperones at the retreat. Food and lodging will be provided. Please contact the GSYO office (650) 665-9046 or info@gsyomusic.org to volunteer.

    Cost of Retreat: The $770 retreat fee covers busing, lodging, meals, sectional coaches and other staff, and some recreational activities. The Allegretto Retreat payment is due June 15. You will receive a reminder email from GSYO in June.

  • Allegretto Retreat Statement of Intent

    Review these rules and expectations with your musician: The GSYO Board of Directors is looking forward to starting the 2025-26 Camilla Kolchinsky Orchestra Season with the Allegretto Retreat. To ensure your comfort, safety, and welfare during the weekend we are asking you to carefully read the following information and to follow the instructions given.

    While we recognize that our musicians are among the most mature individuals found at any junior or senior high school, we must nevertheless insist that you know and follow the rules below for the benefit of everyone involved. It is important for all students and parents to know that an infraction of a rule may necessitate removal from the retreat for the week. Should this become necessary, the student’s parents will be notified, and responsible for immediate transportation home. In the event parents cannot be reached, the student will be placed under the supervision of the staff and sent home at the first opportunity; in such a case, the parent will assume all financial responsibility related to housing and transportation. Please read and observe the following:

    • Show respect to UC Santa Cruz and buses - any damage to the campus, rehearsal hall, buses or environment will be paid for by the individual student(s)/parent(s) involved.
    • Alcoholic beverages or illegal substances are prohibited.
    • Be on time for all rehearsals, meals, or other functions. Attendance at all rehearsals is mandatory!
    • Observe whatever curfew (being in your assigned room) is established by the GSYO faculty, board and chaperones.
    • Show respect for the rights of others and be courteous at all times.
      Remain in areas designated for retreat participants.
    • No student may keep a vehicle at retreat. Students are prohibited from riding in any vehicles other than GSYO-approved buses while at retreat.
    • Take pride in what you are doing - you represent Golden State Youth Orchestra.
  • Retreat Roommate Preference

    GSYO is committed to providing a safe, inclusive, and supportive experience for all students. As appropriate, special attention will be dedicated to accomodating students who wish to be roomed in a manner consistent with their gender identity. Dorms are grouped as female-identified and male-identified.

  • Students will be asked at a later date for their tour roommate preferences.

  • List the names of your preferred Retreat roommates below (in order of preference). Leave blank if you have no roommate preference.

  • Allegretto Retreat Minor Waiver

  • Chicago Tour: April 10 - April 13, 2025

  • Tour is the ultimate artistic test of the orchestra, and also the culmination and expression of the highest achievement of the orchestra. It is simply irreplaceable as an experience that matures and defines the character and unity of the orchestra.

  • Tour Fee

    The tour fee of $2,445 includes: all transportation, lodgings, two meals per day (usually breakfast and dinner), guided sightseeing, entrances to attractions, and more. Please see the itinerary (next page) for additional details.

    The GSYO Board of Directors has formulated some key policies concerning membership in the Camilla Kolchinsky Orchestra as it relates to tour, which we have outlined.  Please read over these policies carefully.   • Touring and Payment Information

    In addition to the August 23-25, 2024 Retreat and the regular season schedule, CKO will tour the Chicago area in 2025 for 4 days/3 nights and participation is expected. Please plan your activities around the tour dates, which are as follows:

    Tour Dates: Thursday, April 10 - Sunday, April 13, 2025

    Payments: The first payment will be expected by May 9 ($320 non-refundable deposit), with the remainder ($2,125) due Oct. 1. An extended payment plan may be requested. Please contact the Office for more details.

    Chaperones: GSYO will need chaperones for this short tour and they will be required to submit fees according to the same schedule.

    In the case of an individual tour cancellation due to a personal emergency, a partial refund of the October payment will be considered, but not guaranteed. Only true emergencies will be considered for this purpose. Partial refunds are approved at the discretion of the Executive Director 

    If you are unable to make your decision (i.e. we do not receive registration and a deposit) by the registration deadline, you will be placed on the GSYO waiting list for next season. All returning and new members who are committed to the tour will have priority. Other students will be placed as space allows.

  • Financial Aid

    Some financial aid will be available. Requests for financial aid must be returned by the registration deadline. If you have a financial aid request on file for 2023, you must fill out a new request. If a member is unable to make the full $1,000 deposit, and they are submitting a request for financial aid, the initial deposit will be reduced to $200. However, the partial payment will be held pending approval of the aid application. 

    If the application is not approved, a full deposit will be requested, and upon receipt, will not be refundable. If the application is not approved, and the balance of the deposit is not received within ten days of notification, then the $200 deposit will be returned, and the membership will not be processed. If the application is approved, the reduced deposit is not refundable.

  • Tour Chaperones

    Chaperones are welcome and necessary. The tour chaperones are each assigned a group of musicians to monitor and keep on schedule (getting packed and back on the bus, or on excursions, or ready for the perfomance). It is a great opportunity for parents who want to enjoy the exciting behind-the-scenes life of the orchestra on tour. It is a demanding schedule, and requires some diligence, patience and energy! However, the rewards are tremendous! If you are interested in chaperoning, please email Seth Ducey (sducey@gsyomusic.org). If approved, you will be invited to make the $320 deposit to secure your place (first-come, first served).

    Payments: Chaperones pay the same fee ($2,445). The deposit ($320) is due ASAP and will secure your spot on the tour. The remainder ($2,125) is due Oct. 1. An extended payment plan may be requested.

    Check in at San Francisco airport and depart on your flight to Chicago! On arrival, meet your Encore tour managers and transfer to your comfortable hotel in downtown Chicago. Check in, freshen up and enjoy dinner together at Giordano’s Chicago Pizzeria tonight.

     

    DAY 2, APR 11, 2025: CHICAGO
    After continental breakfast at the hotel, there will be a musical activity, to be determined. In the afternoon, see the interactive exhibits in the Museum of Science and Industry followed by a visit to Millennium Park and the Bean and time on Chicago's Magnificent Mile - Michigan Avenue!

    Later, return to the hotel to change and have dinner at Ed Debevic’s. Tonight, you will attend a performance by the Chicago Symphony Orchestra. Return to hotel.

     

    DAY 3, APR 12, 2025: CHICAGO
    After breakfast at the hotel, travel to the top of Skydeck Chicago for magnificent aerial views of the city! Enjoy lunch on your own and a little free time at Navy Pier. This afternoon, transfer to North Shore Center for the Performing Arts for your exchange and shared performance with the Elgin Youth Symphony Orchestra. Dinner will be together with your new friends, arranged by GSYO. Later this evening, return to your hotel.

     

    DAY 4, APR 13, 2025: HOME
    Following a final breakfast at the hotel, check out and depart for a morning visit to the Shedd Aquarium. There will be a group photo opportunity on the waterfront today before reboarding the bus and transferring to the airport. Check in and depart Chicago on your return flight to San Francisco.

    It is the policy of GSYO that no student should be excluded from participation due to financial hardship. Financial Aid is need-based. If you would like to apply for financial aid, please fill out the application (will open below) and make the $200 payment at this time. You must either upload a copy of your most recent Federal Tax Return or mail a copy to the GSYO Administrative Office at 4055 Fabian Way, Palo Alto, CA 94303 to complete your request. The GSYO Office will notify you of any amount awarded as soon as possible.

  • Financial Aid Request
