  • This form is used to reserve Friday night lodging, purchase Saturday meal tickets, and register non-participant attendance for the Illinois District Fine Arts Festival.

    This form is separate from student participant registration and church registration.

  • Before You Begin

  • For most churches, the Fine Arts Coordinator typically handles lodging, meals, and non-participant arrangements on behalf of the group. This approach is strongly encouraged, as it helps ensure accuracy and avoids duplicate bookings.

    That said, we understand there may be situations where a parent, family member, or non-participant prefers to make their own arrangements. This form allows for both options.

    Please review the information below carefully and select the role that best describes your relationship to this submission.

  • Important Guidelines

    • Lodging is limited and assigned on a first-come, first-served basis.
    • Do not order Saturday lunch for participants. Saturday lunch is already included with all registered participant and choir-only registrations.
    • This form is only for lodging, meals, and non-participant attendance. No submission is required if you do not need any of these items.

  • If all of your non-participants are staying onsite Friday night, their attendenance fee is covered in their overnight lodging cost. You do not need to record them again here.

  • Please review your totals carefully before submitting. This form submits lodging, meal tickets, and non-participant attendance only.

  • Lodging Cancellation Policy:

    Rooms may be cancelled up to two weeks prior to the event (April 3rd) for a full refund. After that deadline, the reserving church or individual is financially responsible for the full cost of the room, even if payment has not yet been made. Emergency situations, such as death in the family or serious illness, will be reviewed on a case-by-case basis.

  • What Happens Next

    After you submit this form, your booking request will be reviewed by the Fine Arts team to ensure accuracy and availability.

    Once your submission has been processed, an invoice will be issued for the total amount reflected on this form. Payment options will include:

    • Online payment (a 3.5% service fee applies), or
    • Payment by mailed check

    Payment is due upon receipt of the invoice, and all funds must be received prior to arrival at the Illinois District Fine Arts Festival.

    Please note:

    • Lodging requests are not guaranteed until confirmed, due to limited availability.
    • This submission does not register students for Fine Arts. Participant registration and church registration are completed separately.

    If clarification is needed or adjustments are required, the Fine Arts team will follow up with you directly.
