Participant Guidlines

Set up:  Site will be open starting at 12n Friday, August 8, 2025. Saturday morning setup must be completed by 915a.  All vehicles must be moved to designated parking areas by 915a Saturday and Sunday.

 Vendors, Activity Booths, and Entertainers must agree to participate and stay open for business for the full operating hours of the Festival on both days.  No early tear down or single day participants.

Security:  This festival is located on private property.  Property owners will be around during all hours of the weekend keeping watch over things.  Additional security will be onsite during faire hours.

Atmosphere:  Participants are responsible for creating a “period” atmosphere with canopies, tents, period clothes and tables.  If you have a modern tent or tables, all metal and plastic poles or tops should be covered in an effort to give the illusion of a period pavilion and displays.  Food trucks should also be dressed, as best possible, to look the part.  Participants are required to dress the part, helping with the period and fantasy atmosphere, regardless of weather.  Choose your garb accordingly.  If you are unfamiliar with themed events, please contact us for suggestions on how you can easily and inexpensively create a more period atmosphere.

Camping: Limited, primitive, onsite camping is available to participants.  No electricity or running water is available onsite.  Other RV parks, campgrounds, resorts, hotels, and motels are available within a short distance of the festival.  Ask for more information on off-site  accommodation options.  *Camping is open to festival participants only, no patron camping onsite.*

Weather:  Weather in Northern MN can be unpredictable.  Please plan accordingly.  We are open rain, shine, wind, or snow!  (Iron Ranger Arts staff reserves the right and may choose to shut down early or not be open both days if the weather causes safety concerns for patrons or participants.)

Promotions:  Iron Ranger Arts reserves the right to take photos and/or video of you and your setup for promotional purposes.

Weapons, Marijuana, and Alcohol: 

Marijuana and Alcohol are not allowed onsite during faire hours.  The festival site is considered a public park with children present during festival hours and marijuana smoking is prohibited.  This is also a dry event and we do not have permits for alcohol.  (Alcohol may be consumed in moderation, after hours in the vendor camping area ONLY.  Please be responsible.)

All bladed weapons must be sheathed and peace tied for the safety of all participants.  No weapons can be sold to anyone under the age of 18, and a valid ID must be shown for all weapon purchases.

Additional Responsibilities:

Participants understand that the Festival of Skalds staff determines what can or cannot be sold.
The vendor shall be responsible for all Federal and State taxes, edible/consumable/food permits and licenses (completed applicable permits and licenses are due with application)
Festival of Skalds staff and sight property owners will not be held responsible for lost or stolen items. Participants are responsible for providing their own liability insurance.
Participants are expected to conduct themselves in a family friendly, appropriate, manner.  Illegal drug use, abuse of alcohol, vulgar or profane language, and disruptive behavior will not be tolerated.

Read the information on the bottom before completing this certificate. Person selling at event: Complete this certificate and give it to the operator/organizer of the event. Operator/organizer of event: Keep this certificate for your records.

Commitment Fees:

• Craft and Artisan Vendors $50.00 per 11x11 space
• Food / Beverage Vendors $100.00 per 11x11 space
• Activity Stations, 50/50 profit split due at Sunday teardown

Payment MUST be received in order for your. space to be confirmed.

Late Application/Payment Fee:  An additional $50.00 will be charged for any vendor applications and payments received after July 10, 2025.

No applications accepted after July 31, 2025.

To provide the best sales opportunity for each vendor, all products must be pre approved.  New Vendors, please email sample photos of items and set up to irawshop@gmail.com for approval.

We limit the number of similar products/Vendors.  Products must be handcrafted, repurposed, upcycled, or an onsite service (henna artists, fortune tellers, etc.)  Resale only and/or pyramid Vendors will not be allowed.

I declare that the information on this certificate is true and correct to the best of my knowledge and belief and that I am authorized to sign this form.

Participants understand that by signing this form you have read and agree to the participation guidelines.  If any of your party chooses not to adhere to these guidelines, Festival staff has the right to ask you to leave the premises.  Failure to adhere to these conditions will void future participation in the Festival of Skalds.  Vendors also understand that unless there is an extreme circumstance, commitment fees are non-refundable.  Weather is not considered an extreme circumstance.

We have a participant potluck dinner on Saturday evening after Festival close. (approx 6:30pm)  
The main meat dish, and usually a salad, is provided by Iron Ranger Arts.  Participants are encouraged to join in this casual dinner.  Any side dishes and deserts welcome.

PENALTY— Operators who do not have Form ST19 or a similar written document from sellers can be fined a penalty of $100 for each seller that is not in compliance for each day of the selling event.

• Operators/organizers of craft, antique, coin, stamp or comic book shows;f lea markets; convention exhibit areas; or similar events are required by Minnesota law to get written evidence that persons who do business at the show or event havea valid Minnesota tax ID number. If a seller is not required to have a Minnesota tax ID number, the seller must give the operator a written statement that items offered for sale are not subject to sales tax. All operators (including operators of community sponsored events and nonprofit organizations) must obtain written evidence from sellers. Certain individual sellers are not required to register to collect sales tax if they qualify for the isolated and occasional sales exemption. To qualify, all the following conditions must be met:
• The seller participates in only one event per calendar year that lasts no more than three days;
• The seller makes sales of $500 or less during the calendar year; and
• The seller provides a written statement to that effect, and includes the seller’s name, address and telephone number. This isolated and occasional sales provision applies to individuals only. It does not apply to businesses.
