Booking Policies
These policies are designed for still photography/video crews - our locations are not geared towards large film crews. Homeowners / Business Owners have the right to decline a booking or specify areas within their location that are off limits to any production. Please provide as many details during the booking process to help eliminate any setbacks or delays.
Payment
Clients must pay on or before shoot date. A credit card MUST be on file, no matter the intended method of payment. No exceptions. ACH payments are accepted, but payment must be received prior to the production, NOT scheduled.
Management Fees
Client agrees to pay full location fee + $650 for the location manager. Half days are billed at 60% of rate.
Finance Charge
A 3% finance charge will be added for all credit card payments.
Bookings
A day rate is based on ten consecutive hours on location, from 8a - 6p, and a half day is 5 consecutive hours. Bookings outside of this timeframe are subject to additional fees. Please note that a charge of $150 will be added for any pre-scout required. This charge is per location (ie. 3 locations = $450).
Minimum Booking Time
Half day is the minimum time that can be confirmed. This is billed at 60% of the full day rate.
Overtime Rate
May apply on weekdays, before 8a or after 6p (unless negotiated prior to confirmation), any weekend or holidays. Notify the TPL agent immediately if you foresee any OT during your production as we will have to clear it with the property owner. ALL overtime requires additional homeowner approval prior to booking.
Crew Size
Only one crew is allowed to be at any location at one time. Each property has set a max number of people that must be adhered to.
Location Specifics
Crew parking, RV parking, phone use, food and drink requirements, overnight storage and other particulars will vary depending on location. Please PHOTOGRAPH the arrangement of all rooms being altered in any way and return all contents to their original order. Any overnight storage will need to be arranged at the time of confirmation with TPL, NOT the property owner, AND additional fees will be applied.
Insurance
Certificate of insurance is required. Standard liability coverage is one million dollars, a hold harmless agreement may also be required. The COI is required in order to complete the location confirmation.
Permits
Some locations require permits for various types of shoots. We will inform the client at the time of booking, if we are aware of such circumstances. Payment for permits and other fees are the responsibility of the client. Additional filing fees will apply if you would like TPL to manage permits.
Damage
If the location or any of its contents are damaged during a shoot, notify TPL before you leave the property. The client is responsible for notifying the location manager promptly and paying all damages.
Weather Permit Bookings / Rescheduling
All weather related cancellations/rescheduling to be confirmed with 12 hours of the schedule arrival time. If cancellations/rescheduling takes place less than 12 hours before scheduled arrival time, production will be charged a half day, equaling 50% of day rate. TPL will honor a definite booking to take precedence over weather permit bookings.
Cancellations
Confirmed bookings cancelled within less than 24 hours are charged a full day rate. Confirmed bookings cancelled at least 24 hours in advance are charged a half-day rate, equal to 50% of day rate.
