    • LOCATION REQUIREMENTS
      Specific locations must be arranged for all programs within the scheduled program time. Other events should not be scheduled simultaneously in these areas. Once the program is physically set up at client location, the program location cannot be moved. Specific program location requirements will be agreed upon during scheduling.
      Museum staff may request an orientation to the facility upon arrival.
      Please see below or on the Museum website for an overview of program specific needs and details.

      BILLING
      An itemized invoice for your program(s) will be sent to you upon reservation creation. The invoice will contain fees for all related program and services (the full scope of service). Program payment is due two weeks prior to program date unless other arrangements are agreed upon in advance. Please note that payments can be made via credit card or purchase order only (unless other arrangements have been preapproved by Museum staff).

      CONTRACTS
      The client (you) indemnifies, defends, and hold harmless The Museum of Flight and its employees from and against any loss, cost, or damage to the extent arising out of its breach of this Agreement, and/or its negligence or willful misconduct.
      Any requests for alterations to program reservations must be made at least two weeks in advance. The Museum will attempt but will not guarantee requested alterations.
      Documents requiring Museum personnel signatures must be provided at least four weeks in advance.

      ADULT SUPERVISION
      The Museum of Flight is a service provider and is not acting in loco parentis. Museum personnel are not to provide supervision nor are responsible for client participants. Museum personnel are acting in supplement to the client/organization and should not be considered as staff/volunteers/representatives of the client.

      Staff/Chaperone requirements:
      An adult chaperone must be provided by the client. An adult from the client or its designee must be present at all times, for the entirety of each program. If an adult is not present, or are not providing proper supervision, the Museum reserves the right to stop and cancel the remainder of the program, without a refund. The Museum additionally reserves the right to refuse service to schools or organizations with a history of inadequate adult supervision.

      Background Checks:
      Museum of Flight personnel have received national background checks. Fees may be assessed and charged to client if other background check processes are required for work with the client organization.

      PROGRAM DATE AND SCHEDULE
      Upon final program schedule agreement, it must be adhered to. Day of or in situ revisions or requests may incur additional fees.

      Please refer to your program invoice/scope of service for days and times of service.

      RESCHEDULING AND CANCELLATION
      Contact Education@museumofflight.org as soon as possible for rescheduling and cancellation needs. Cancellations made more than seven days in advance of the scheduled program date are eligible for a full refund. Cancellations made within seven days of the program date are eligible for a refund minus a $50 administrative fee. No refunds for day-of cancellations.

      UNFORSEEN CIRCUMSTANCES
      In the event of an unforeseen circumstance or other Act(s) of God, Museum personnel will work with you to reschedule for a new date.
      If an unexpected delay en route to a program occurs, Museum personnel will communicate with you to determine the best course of action.

      PROGRAM SPECIFIC NEEDS
      Portable Planetarium - All programs use our digital planetarium and require access to an electrical outlet, a quiet and indoor room with a minimum 25-by-25-foot area of clean, open floor space and a 14-foot-high ceiling.

      Yes, It’s Rocket Science - A level, outdoor space for launching rockets, clear from trees, power lines, buildings, parking lots, and cars, is required.
