As part of our commitment to the wider community, Somersfield Academy permits community event rental use of their recreational facilities outside the normal school hours of 7:00am – 6:00pm on weekdays.
Rental hours: 6:00pm evenings – 10:00pm evenings
And: 9:00am – 10pm evenings (Weekends)
Any individual or group may request the use of the Somersfield’s Indoor and Outdoor facilities by filling in our “Use of Facilities – Application Form”.
General Rental Guidelines
- Any event or facility usage considered to be potentially harmful to the public image of Somersfield Academy will not be permitted to rent our facilities. The leadership of Somersfield Academy reserves the right to determine the potential harm to facilities and may reject the said request.
- The request for use will be based on the facility availability. School events always take precedence over rental requests.
- The “Use of Facilities Form” must be filled out for each request.
- Payment for the rental must be made prior to the event.
- Groups renting the facilities will be held financially responsible for any special cleaning, maintenance, or repair resulting from an event or activity.
- Somersfield Academy is a non-smoking environment. Please do not smoke inside of our buildings.
- If selling food or using food vendors for your event, the group/vendor is responsible for acquiring relevant permits.
- The renter is to notify the school if their event will be serving/selling alcohol. If approved, the group renting the facility is responsible for any required permit.
- Please close all doors and windows that you may have opened during usage.
- Groups renting the facility whether inside or outside must leave the premises clean of debris and in good order.
- Groups renting the facilities are required to observe policies of Somersfield Academy associated with the facility, as well as the laws of Bermuda.
- The leadership and staff of Somersfield Academy are not responsible for any lost, stolen or damaged property belonging to members of rental groups or their spectators utilising the facilities.
- Renters are responsible for their own set up and break down.
- If renting inside facilities ie: gymnasium or common room, participants are not permitted to wander the school halls or enter any rooms that do not form part of the rental agreement.
- Upon signing the agreement, the representative of the group shall sign that the rules governing the use of the facility have been read, and it is agreeable to comply with the rules as set out in this agreement.
- The initial application must be completed in full, including an email address to receive correspondence and invoice.
- There may be additional charges for set up of chairs and audio/visual equipment if required.
- Due to COVID regulations all renters will be responsible for a cleaning/sanitising fee per use.
