‘Enrolled’ means you share, and we collect & process your personal information, including but not limited to: your name, physical address/location, email address, phone number, and any other information you choose to give us. We use your IP address to approximate your location, and we also collect other information about you, such as your preferred language.
When you provide your personal details, we use your information for our legitimate interests to carry out our work in: providing & administering the delivery of the course, as well as providing membership community services. Personal information you supply to us may be used in several ways, for example: processing your service requests, managing your access to privileged areas of the website, personalising your visit to our site and to enable us to review, develop and improve our online content, carrying out research and statistical analysis, safeguarding and promoting the welfare of members, ensuring staff & volunteers’ safety and security.
Disclosure of Personal Information:
Information is held and processed by The Oak Tree Press (OTP) as data controller for, and on behalf of: The Order of Bards, Ovates and Druids (OBOD). We will not disclose your personal information to any third party, unless we are required to do so by law. Please be aware that any personal information that you voluntarily post in a public area (including member areas) of our site, such as a bulletin board or discussion forum, or an interactive area requiring registration and/or subscription, may be collected and used by others. Please be careful what personal information you disclose in this way. You understand that we cannot control the actions of other users.
Sometimes, as part of our services, you may choose (although it is not required) to share more sensitive personal data - eg. in direct communications with your mentor, or as part of your submitted coursework / review(s). In doing so, you consent for us to hold this data. We will always seek your explicit consent before using any of your identifiable personal information in our communication material, and if applicable, we may ask if we can use anonymised quotes in publications.
Security:
We have appropriate security procedures and organisational measures to safeguard your personal information to prevent personal information from being accidentally lost, used or accessed in an unauthorised way. We comply with all relevant data protection laws.
Mentors:
If you are connected with a Mentor, you confirm that you consent to the information you provide being shared with the Mentor Coordinators & OBOD Mentors, and that all communications (including private or personal information) that you share digitally eg. by email, or within our private messaging system, with your Mentor will be held / stored in accordance with privacy laws of the territory that you have registered your address with OBOD. You have the right to withdraw your consent & disengage with your Mentor at any time by emailing: mentors@druidry.org
We will return or delete your personal information within 20 working days of receipt of your withdrawal of consent.
Communications:
As a Member, we will primarily communicate with you by email, which includes receiving regular newsletters, and/or correspondence regarding your Membership or your course from: OBOD, or from the administrative offices of OBOD operated by OTP, or from OBOD member support in the locality of your residence. You can choose to opt-out of the general newsletters mailing list by emailing office@druidry.org - however will still need to communicate directly with you by email with regard to your Membership.
Data Retention:
Unless you request otherwise, OBOD and OTP will retain your data for the complete and full duration of your Membership with OBOD. Where a purchase has been made and a course is provided, your data will be held for a minimum period of 7 years in line with regulatory and governing body requirements, and where there may be a requirement to hold your data to evidence the completion of studies or for audit purposes.
Termination:
You may withdraw from the course and terminate your Membership at any time by notifying us in writing by email at: office@druidry.org
