  • OHCA Facilitator Policies and Procedures

  •  Facilitators must submit a program request at least six weeks before the proposed start date to allow sufficient time for promotion. The application requires at least one high resolution image that represents your offering.  You may also include a second image and a photo of you.

    Proposals will be reviewed by the program committee within 7 days of submission.  You will be notified of their response soon after.

    If the program is approved, facilitators will receive a draft of the website post before publication to verify accuracy. Once the website post is approved by the facilitator and posted, changes cannot be made. As independent contractors, facilitators share responsibility for promoting their program. OHCA will send at least one, typically three or more, email announcements to over 3,000 subscribers.

    Facilitators may create and put flyers for their workshops in the LOFT.

    Facilitators unfamiliar with LOFT (workshop space) access, must schedule an appointment with the office for an orientation on entry procedures, sign-in sheets, heating, cooling, and other essentials.

    Facilitators must contact the OHCA office three days before their workshop to confirm enrollment and receive a participant list. If enrollment falls below the agreed minimum, facilitators may cancel the class. No payment will be issued if the class is canceled, and all registration fees will be refunded.

    Facilitators are expected to email enrolled participants at least two days before the program start date to provide a welcome message, materials list, payment details (if applicable), and lunch break reminders.

    Sign-in Requirement: All workshop participants must sign in. Payments to facilitator is based on sign-in records, and missing forms will result in payment delays or inaccuracies.

    Facility Use and Clean-Up:

    • The LOFT must be left in its original condition.
    • Trash and recycling must be disposed of at the gatehouse.
    • OHCA is not responsible for items left behind; unclaimed items may be discarded.

    Payment:

    • Facilitators receive 65% of collected enrollment fees, processed via Bank of Marin during the first week of the month following the workshop.
    • A 3% fee applies to credit card payments, deducted from the facilitator's share.
    • Facilitators earning over $500 in a calendar year must submit a W-9.

    Additional Information:

    • Ongoing facilitators are encouraged to attend an annual gathering, typically a March dinner, to connect with other teachers.
    • The OHCA office operates Monday – Friday, 9:30 AM – 3:00 PM. Emails and enrollments are not monitored on weekends.
