Terms & Conditions for Participation
The Potts School Day Away Series is made possible through the extraordinary generosity of Greg and Cheryl Potts, in partnership with the Oxford Performing Arts Center. This program is designed to provide meaningful, no-cost access to live professional performances for students across our region.
Our shared goal is simple: to maximize the impact of this gift so that as many students and schools as possible can benefit. Clear expectations help us serve everyone well and build lasting partnerships for years to come.
By reserving tickets, participating schools agree to the following:
Participation & Access
- All tickets are provided at no cost to schools or students through the Potts School Day Away Series.
- Schools and school districts may not charge students any fees related to attendance, including transportation or bus fees. This opportunity must remain completely free to all students.
Reservations & Attendance
- Reservation requests must be submitted at least two (2) weeks prior to the performance date.
- Schools are expected to bring at least 85% of the students included in their original reservation request. Exceptions may be made in the case of illness outbreaks or documented emergencies.
- Failure to meet this attendance expectation may result in the school being ineligible to participate in the program for one calendar year.
Cancellations
- Cancellations must be submitted at least 10 business days prior to the performance.
- Failure to cancel within this timeframe may result in the school being ineligible to participate in the program for one calendar year.
Arrival & Timing
- All buses must arrive and be ready to unload at least 15 minutes prior to showtime.
- Late arrivals disrupt the performance experience and transportation coordination for all schools and are not acceptable.
Supervision & Conduct
- A minimum ratio of one (1) chaperone per twenty (20) students is required. No exceptions.
- Students must remain under the supervision of school staff and chaperones at all times.
- Students are expected to be respectful audience members and enjoy the performance without disruption.
Failure to maintain appropriate behavior may result in removal from the program and ineligibility for one year.
Accessibility
- OPAC is fully ADA accessible.
- Any accessibility needs or accommodations must be communicated during the reservation process, not on the day of the event, so we can properly prepare and serve your students.
Education Resources
- When available, OPAC will provide study guides and educational materials in advance for distribution to educators to enhance the experience.
