Vendor Cancellation & Refund Policy
We understand that unexpected circumstances can arise, and we strive to be fair while also ensuring the smooth operation of Winterfest. The following policy applies to all confirmed vendors:
1. Refunds if Not Accepted
If your application is not accepted during the jury process, you will receive a full refund of any fees paid.
2. Voluntary Cancellations
If you are accepted as a vendor but later choose to withdraw:
- 30 days or more before the event (by November 6, 2025): Full refund of booth fees.
- 15–29 days before the event: 50% refund of booth fees.
- 5–14 days before the event: No refund unless cancellation is due to extenuating circumstances (see below).
- Within 5 days of the event: No refund.
3. Extenuating Circumstances
If you must cancel due to serious illness, injury, family emergency, or other significant hardship, please contact us as soon as possible. We may, at our discretion, issue a full or partial refund with appropriate documentation.
4. No-Shows
Vendors who do not show up for the event without prior notice will not be eligible for any refund and may affect consideration for future events.
5. Event Cancellation by Pacifica
If Winterfest is canceled by Pacifica due to weather, safety concerns, or other unforeseen circumstances, vendors will receive a full refund of booth fees.
