  • Cancellations, Late Cancellations, and No-Shows Policy

  • At Radical Elevation, we recognize that unexpected events can arise, and you may occasionally need to cancel or reschedule your appointment. While we strive to be understanding, repeated disruptions to the schedule affect the availability of care for all clients. 
     
    Policy Guidelines 

    • *Cancellations made with more than 24 hours' notice are accepted without penalty.
    • Late cancellations (less than 24 hours' notice) and no-shows (missed appointments without any notice) are tracked.

    *Repeated cancellations, even with proper notice, may be treated under the same policy as late cancellations and no-shows if they form a pattern that disrupts continuity of care, at the clinician’s discretion. 

    Attendance Expectations 

    Fees vary based on client classification:

    • Commercial Insurance Clients

      • $75 for a late cancellation

      • $100 for a no-show

      • Note: Clients with commercial insurance who pay their co-pay or deductible in cash are still considered insured clients, not cash-pay clients.

    • Cash-Pay Clients (self-pay, no billable insurance on file)

      • Late cancellations and no-shows will be charged the full session rate for the service originally scheduled.

    Attendance Expectations 

    • If a client accumulates 2 late cancellations or no-shows within a 90-day period or within 12 scheduled sessions from the date of the first missed session (whichever comes first), all recurring appointments will be removed from the calendar starting from the time of the second missed appointment.

    • If a client accumulates 3 total late cancellations or no-shows within that same timeframe, they will no longer be eligible to book sessions during prime hours (between 2:00 PM and 6:00 PM).

    After either threshold is reached, all future appointments must be scheduled one at a time and confirmed directly with the clinician or front desk. Clients may be permitted to resume recurring appointments and request preferred hours at the clinician’s discretion based on consistent attendance and communication.

    If two outreach attempts are made by the clinic within a 30-day period with no response from the client, Radical Elevation reserves the right to administratively discharge the client from the active schedule and system. This discharge does not prevent the client from returning for services in the future. However, the client will be required to complete the full intake process again before scheduling new appointments. 
     
    Acknowledgment

    By signing below, you confirm that you have read and understand Radical Elevation’s cancellation, late cancellation, and no-show policy. You agree to comply with these terms and acknowledge that repeated disruptions may affect your access to recurring or preferred appointment times.
