Terms & Conditions
1. Exclusive Videography Coverage
Rillis Mac Videography shall be the sole videography provider retained by the Client for the event(s) outlined in this agreement. Any coordination or communication required to prevent conflicts with other photographers or video professionals is the responsibility of the Client.
2. Permissions, Access & Environment
The Client is responsible for obtaining any necessary permissions, permits, or clearances required for Rillis Mac Videography to document the event(s), whether held in public or private spaces. The Client also agrees to secure reasonable access to requested filming locations and camera positions.
The Client understands that limitations related to access, lighting, venue restrictions, or environmental conditions may impact the final video and accepts those constraints as part of live-event coverage.
The Client warrants that they hold the legal rights to all materials provided for inclusion in the final film, including photographs, music, video recordings, or other media.
3. Copyright & Creative Use
All footage captured, including raw footage and edited films, remains the intellectual property of Rillis Mac Videography. Rillis Mac Videography may use select portions of the video for portfolio display, marketing, website, or promotional purposes unless otherwise agreed to in writing.
4. Client Cancellation
The Client may cancel this agreement for any reason at any time prior to the event date. In the event of cancellation, all payments made—less the non-refundable retainer—will be refunded.
5. Client-Provided Materials
Any personal items or media provided by the Client for post-production use are accepted at the Client’s own risk. While reasonable care will be taken, Rillis Mac Videography is not responsible for loss or damage to such items. All materials will be returned upon delivery of the final edited film.
6. Force Majeure & Limitation of Liability
In the unlikely event that Rillis Mac Videography is unable to perform due to circumstances beyond reasonable control—including illness, accident, acts of God, natural disasters, labor disputes, or unforeseeable equipment failure—liability shall be limited to a full refund of all monies paid by the Client.
7. Delivery Format & Playback Compatibility
Final films are delivered using widely compatible, industry-standard formats. One (1) USB thumb drive is included, along with up to three (3) DVDs and three (3) Blue-Ray Discs. While every effort is made to ensure compatibility, RillisMac Videography is not responsible for playback issues related to the Client’s devices or equipment.
8. Meals During Reception Coverage
When coverage includes the wedding reception, the Client agrees to provide meals for two (2) videographers.
9. Travel, Mileage & Lodging
Travel within Franklin County, Vermont is included. Mileage for travel outside of Franklin County will be reimbursed at the current IRS standard mileage rate, calculated per mile.
If overnight accommodations are required due to distance or scheduling, hotel costs shall be the responsibility of the Client.
10. Sales Tax
In accordance with Vermont law, applicable Vermont State Sales Tax will be added to all services and reflected on the final invoice.
