HALL RENTAL
TERMS AND CONDITIONS
1. This Facility Rental Agreement (the “Agreement”) remains in effect until the Facility is vacated following any rental. All rentals will end no later than 1:00 a.m., when the building must be empty. All properties of the Renter shall be removed no later than 1:00 am.
2. The contracted rental hours must include sufficient time before and after the function to allow for preparation and cleanup. This includes caterer, decorators and DJs.
3. Rentals must conform to the capacity limits established by the Fire Department. Hall capacity is 150 people max.
4. Rental fees and a refundable of $200 damage deposit are due at the time of booking. In the event of a cancellation by the user, deposits will be refunded.
5. The rental fees and damage deposit must be paid before access will be granted.
6. The damage deposit will be refunded following the event, barring any damage to the facility.
7. The St. Barnabas Parish may cancel the rental should there be a breach of this Agreement or should the St. Barnabas Parish be of the opinion that the premises are not being used for the purpose specified on the Facility Rental Request Form. The St. Barnabas Parish may also cancel the permit with adequate notice for St. Barnabas Parish for an emergency. The St. Barnabas Parish or its duly appointed representative will have the right to cancel or stop the event if deemed out of control. The Renter shall immediately comply with the directive of a representative of the St. Barnabas Parish or police to stop or cancel the event.
8. St. Barnabas Parish is not responsible or liable for any costs for failure in supplying the Facility due to circumstances beyond its control (examples: hydro failure, damage to the building, etc.) In such cases, consideration will be given for reimbursement in part or full for non-use.
9. The Renter must be at least 21 years of age at the time of the booking and present in the Facility during the permitted time. Children under the age of 12 must be supervised by a parent/guardian. The Renter must not leave the building until all guests have vacated the hall.
10. Facility rentals will not be permitted for businesses, organizations, or individuals, in the sole discretion of the St Barnabas Parish Staff, whose program, services, or business activity do not align with the St. Barnabas Parish’s values.
11. The Renter shall assume full responsibility for their guests in case of injury, damage, theft, or disturbances during the booking.
12. The St. Barnabas Parish is not responsible for damages, loss, or theft of equipment o clothing of the Renter or their guests. Please secure all valuables.
13. When an incident of bodily injury or property damage occurs, the Renter must call the appropriate emergency services, 911, etc., and inform the St. Barnabas Parish of the incident. A written report must also be provided to the St. Barnabas Parish of the incident within twenty-four (24) hours to the email address stbarnabassc@archtoronto.org. The Renter must notify the St. Barnabas Parish when emergency services (911) have been contacted and/or have attended the sire of any incident.
14. The Renter shall ensure that all patrons refrain from smoking or vaping in the Facility. The prohibition includes the smoking of cannabis.
15. Signs, posters, or other decorations may only affixed to walls with masking or painters’ tape, no higher than 8 feet, and only in approved locations. Any damage caused by using unapproved products will be returned to the Renter. The use of the St. Barnabas Parish’s logo in any marketing materials is not allowed without prior approval of the St. Barnabas Parish.
16. “Water Throughs” and “Water Fountains” are prohibited. Open flames are not permitted following the Ontario Fire Code.
17. Throwing rice, confetti, and other food items and using decorative sparkles/glitter is not permitted.
18. Sales of refreshments, good and beverages and other items, and consumption of alcohol on St. Barnabas Parish property is permitted if appropriate approvals had been attained. Valid Smart Serve certification is required if alcohol is going to be served, with the exception of small and/or family gatherings. Proof of validation will be asked before approval of booking.
19. All fire exits, routes, and pedestrian walkways must be always be clear. The Renter is responsible for restricting activities to the Facility only. All concerns of safety or otherwise should be reported immediately to St. Barnabas Parish staff.
20. Parking is only permitted in designated granular/asphalt parking lots.
21. As a party to this Agreement, the Renter agrees to compensate St. Barnabas Parish for any damage or loss to property or equipment contained within the Facility, which damage or loss arises from the Renter’s use of the Facility.
22. The Renter and their invitees are only granted access to the area that has been rented.
23. Upon final departure of the facility, the Renter shall ensure that:
a. All lights are turned off.
b. All garbage and recycling are bagged and placed in the appropriate waste management bins located outside the facility.
c. Exit doors and closed and locked.
24. The Renter acknowledges the electrical limitations of the facilities and such, will take undue care to ensure that electrical outlets are not overloaded. Plugging more than one appliance to a single outlet could result in electrical failure/hazard. Access to the mechanical room is restricted to St. Barnabas Parish staff. Therefore, a blown braker could result in a call-out charge and/or loss of service at the discretion of the Renter.
