• 2021 VABA Conference Volunteer Signup

  • As we plan for the 2021 VABA Conference in Newport News, VA this year (April 16th and 17th) we are looking for volunteers

    Volunteers do not attend the conference as traditional participants. We require that volunteers commit to a minimum of 4 shifts over the conference weekend. 

    Volunteer duties are: 

    • Registration Helpers - Assists with the set-up of the registration booth, greets pre-registered participants, checks off names and hands out bags and lanyards
    • Room Monitor - Responsible for CEU QR code displayed on the presentation screen, assists speaker(s) with any last-minute needs or requests, assists with any needs or requests from conference participants, must remain in the assigned room for the entire presentation, must be in assigned room 5 minutes prior to start of session and 5 minutes after end
    • Question Surrogate - Helps room monitor, asks questions posed by virtual attendees so that live speaker may answer
    • Exhibitor Helper  - Assists exhibitors with set-up, break-down, and special requests
    • Clean-up - Assists VABA conference committee and staff with cleaning up common areas, taking down posters and displays, and other clean-up duties as assigned
    • Event Photography - Takes candid and posed photos of presenters, staff, exhibitors, and conference attendees, must be able to upload photos onto Google Drive or Dropbox
    • Virtual Platform Support - Tech support for virtual conference platform for online and in person attendees. (Training provided)
    • Safety Check-in Monitor - Assist with monitoring and implementation of COVID-19 and safety protocols
    • Other Duties as Assigned

    Volunteers must be VABA members in good standing and must register for the conference, paying in full or scholarship recipient. All volunteers who complete at least 4 shifts will receive complimentary CEUS.

    Volunteers are expected to attend assigned sessions but are otherwise welcome to enjoy the conference. Session preferences will be accommodated as much as possible. 

    Volunteers are expected to exhibit professionalism as they reflect the organization while on duty. Volunteers must arrive on time to assigned duties, dress comfortably, but professionally, and show courtesy towards fellow VABA members and staff.

  • Volunteers will be expected to adhere to safety guidelines, including:

    • Temperature checks and screening prior to shift
    • A minimum of 6 feet social distancing
    • Routine cleaning and disinfection of high contact areas and hard surfaces
    • Wearing of  face coverings over the nose and mouth at all times unless eating or drinking
    • Frequent and thorough hand washing and use of hand sanitizer when hand washing is not available
