    The Walvis Bay Maritime Week takes place at Civic Centre, Walvis Bay from 28 September - 3 October 2026. 

    The Walvis Bay Maritime Week is open to all companies/individuals that are affiliated or derive business from the blue economy as well the entire Namibian & international communities at large. Exhibitions will commence from the 30 September to the 3 October 2026.

    1. Exhibitors may only showcase business that is directly related or add value to the marine/ocean life. No other products or services will be allowed to be displayed or promoted.
    2. Approval to participate at the Walvis Bay Maritime Week is subject to an exhibitor screening process. The general criteria to exhibit however will be based on the relevance and direct focus on the marine life. Participation will be duly considered and the final decision for participation will be at the discretion of the Municipality of Walvis Bay.
    3. Damages will be charged @ replacement value of shell scheme panels    N$2,500.00 ex vat and any other damages will be charged on provision of quote.
    4. Only upon receipt of full payment will we confirm your booking.
    5. Should the exhibitor/vendor withdraw/cancel their participation from the exhibitions within 30 days prior to the event, the organisers shall retain all  monies paid and such funds are non-refundable.
    6. The organizers shall reserve the right to allocate stand space and exhibitors preference shall not be entertained. This is to allow for fair allocations to all exhibitors.
    7. The organizers reserves the right to decline an exhibitor’ application.
    8. The organizers shall be responsible to provide exhibition infrastructure related to Schell sheme and it is solely the responsibility of exhibitors to set up and decorate their own booths. The organizers shall only provide stand space & Schell scheme, and NO tables nor chairs will be provided.
    9. The organizers shall not be held liable for any expenses incurred by the exhibitor should the exhibition in an unlikely event have to be cancelled for any reason beyond the control of the organisers.
    10. Council further encourages all exhibitors to be mindful of limited water & power supply and all activities should be environmental friendly.
    11. All exhibitors are expected to pack up, close & vacate the premises strictly by 22:00.
    12. Stand set-up will only be allowed on 29 September 2026 10:00 to 19:00 and  breakdowns will be on 4 October 2026 between 09:00 - 13:00. Failure to adhere to these times, the organizers will enforce penalties.  
    13. Whilst the organizers would make provision for the Security guards during the week, it should be noted that it remains the responsibility of the exhibitors to always safeguard their own properties, and that Council shall NOT be liable for any loss of goods deriving from theft/fraud. Exhibitors may arrange additional security at own expense, but in this case may only make use of the official Security Company that is appointed by the organizers.
    14. Exhibitors that will be trading alcohol must ensure that they arrange and obtain a relevant liquor licence at own cost prior to the event. And that such document must be presented to the organizing authority upon enquiry.
    15. To boost the local economy of Walvis Bay, 70% of the Food stalls /SME    stalls shall be allocated to the Walvis Bay residents and 30% to the  outsiders. Only if the applications received are below the said ratio, will residents from other towns be considered.
    16. Food stall vendors will be required to uphold and maintain the Environmental Health provisions as set out by the council to promote food hygiene.
    17. The organizers expects all exhibitors who are preparing food / demonstrations on open fires (braai’s) to do so only in the allocated exhibition areas provided.
    18. The organizers undertake to clean the general exhibition areas, namely    the passage areas; toilets, however exhibitors are expected to keep their own individual booths tidy at all times.
