Event Date:  Saturday, October 17, 2026; 10:00 a.m. - 1:00 p.m.

Event Parking: Parking at Kids Community College, Riverview Southeast

Expected Attendance: Approximately 300+ local families

Booth Setup: Vendors must provide their own 10' × 10' tent/canopy, table, tablecloth, chairs, signage, and all supplies needed for their booth. Vendors are responsible for securing tents appropriately.

Halloween Fun: This is a family Halloween event! All vendors are required to decorate their booth with a Halloween or fall theme, provide candy/treats for trick-or-treaters, and offer a simple child-friendly game, activity, or interactive experience.

Setup & Arrival: Vendor setup is from 8:00–9:30 a.m. Vendors must arrive no later than 8:45 a.m. to allow adequate time for setup. The event begins promptly at 10:00 a.m.

Parking & Vehicle Policy: Vendors will receive parking instructions prior to the event. Once a vehicle is parked within the event property, it may NOT be moved or leave the property until the event ends at 1:00 p.m. This policy is strictly enforced for the safety of children and families.

Event Commitment: Vendors must remain set up and participate for the entire event from 10:00 a.m.–1:00 p.m. Early breakdown is not permitted.

Vendor Sales: Vendors may promote and sell family-appropriate, legal products and services from their assigned booth space.

Food Vendors: Food vendors are responsible for obtaining and complying with any licenses, permits, food-safety requirements, or other regulations applicable to their operation.

Refunds: Vendor and sponsorship donations are nonrefundable for cancellations or no-shows. If the event is canceled by the organizer, participants will be notified regarding available options.

Event Purpose: Proceeds benefit Water Smart Tots Foundation's drowning prevention education programs for children.

By submitting this application, I acknowledge that I have read, understand, and agree to the Vendor Booth Requirements & Event Information provided above. I understand that I am responsible for my booth, displays, merchandise, equipment, employees, representatives, and personal property throughout the event.

I voluntarily assume the risks associated with participation in Trick or Treat for Water Safety and agree to release and hold harmless Water Smart Tots Foundation, Inc., Watch Me Swim, LLC, the event organizers, sponsors, property owners, officers, directors, employees, volunteers, and representatives from claims for injury, loss, theft, or property damage arising from my participation in the event, to the fullest extent permitted by law.

I understand that Water Smart Tots Foundation and the event organizers reserve the right to refuse or remove any vendor, organization, display, product, activity, or conduct deemed unsafe, inappropriate, disruptive, or inconsistent with this family-friendly event.

I understand that vendor and sponsorship donations are nonrefundable for cancellations or no-shows. If the event must be canceled by the organizer, participants will be notified regarding available options.

By signing below, I confirm that I am authorized to enter into this agreement on behalf of the business or organization listed in this application and agree to abide by all event requirements.
