Dear Exhibitor,
Enclosed, please find the FSMTA’s Exhibitors’ Prospectus for the 2025 FSMTA Conference to be held October 26-26, 2025 at Springhill Suites and Courtyard on Amelia Island. All contracts must be accompanied by a 50% deposit of exhibit fees. Balance due must be paid within 10 days of notification of your company’s space assignment.
Exhibit space fee is $200 per table, which includes the following standard equipment:
- One 8’ skirted table with two chairs
- One Identification Sign
- Access to electrical outlet for computer hookup
- Free Wi-Fi service
- Page on the www.fmta.org website
SET-UP AND DISMANTLE
Exhibit set-up begins on Friday, October 19, 2024, at 7:30 AM.
Exhibitors must have an Exhibitor Badge in order to enter the Conference Room at the Hilton Palm Beach Airport Hotel. These badges will be available during the registration hours at the Conference Registration Desk.
Exhibits may not be dismantled, nor may the exhibitor do any packing before the closing of the exhibit area on Sunday, October 20, at 12:00 pm.
Dismantling of the exhibit tables must be completed as soon as possible after the closing of the Conference on Sunday, October 20, at noon.
SECURITY
Exhibit material is the sole responsibility of the exhibitor and should be insured by the exhibitor against loss or damage. Exhibitors will only be permitted in the Conference Room during designated times and must have an Exhibitor Badge for admittance.
Exhibitors will be allowed into the hall ONE HOUR prior to opening each day.

CANCELLATIONS
Cancellations must be submitted in writing prior to June 30, 2024. All monies less a $50.00 service charge will be refunded if notification is received on or before June 25, 2023. Cancellations received after June 30 will obligate the exhibitor to full payment of the exhibitor space. No refunds will be made after this date.
Failure to occupy the space does not release the exhibitor from the obligation to pay full cost of the exhibit space rental. If the space is not occupied by 9:00 AM Saturday, October 19, 2024, FSMTA shall have the right to use such space as it sees fit.

EXHIBITOR SHOWCASES
Exhibitor Showcases are 25-minute presentations of a commercial nature that are ideal for the introduction of musical products and services including instruments, publications, textbooks, software, recordings, and other materials or equipment of benefit to music teachers.
Showcases are complimentary for our exhibitors but offered on a first come/ first served basis. The application for showcases may be found here.
The FSMTA Exhibitors Committee will have the final approval of all Showcase assignments.
Each Showcase room will be equipped with a piano and microphone.
