Inspiration Facility Cultural Event Rentals Request

Club Inspiration is available for Inspiration Residents to reserve for Cultural Events; reservation requests must be submitted at most twelve (12) months and at least fifteen (15) days in advance of the event. The Board has approved one cultural event monthly to be awarded on a first-come first-serve basis.

The cost noted below is per time block.

*The Inspiration Homeownrers' Association may increase the deposit amount depending on the event.

**Clubhouse Rental only, checklist and photos must be completed and sent to the Association staff.

The reserving party may provide refreshments with advance approval of the Association staff. If the reserving party wishes to have the event catered, the caterer must provide the Association with proof of insurance and meet all requirements (refer to Vendors section below).

Vendors
Vendors must be self-sufficient and must furnish all necessary supplies and equipment. All vendors (caterer, band, DJ, rental Supply Company, etc.) must be approved by the Association staff in advance to ensure that the vendors comply with necessary permits and meet the minimum insurance requirements. At least two weeks before the event, each vendor must provide the Association with a certificate of insurance naming Inspiration Residential Association, Inc. as the certificate holder that meets the following minimum insurance requirements:

Statutory limits

Homeowners’ insurance policies do not cover an individual for business-related actions and, therefore, will not be accepted as a vendor’s proof of insurance. Contracting with unapproved vendors places the Association in deliberate risk. If the vendor does not have insurance or does not meet the minimum insurance requirements, a one-time insurance policy must be purchased by the vendor meeting the Association’s requirements. No exceptions will be made. Disregarding this policy will result in the following disciplinary actions:

1st Offense Written Warning
2nd Offense $500 Fine
3rd Offense Indefinite Loss of Room Rental Privileges

- Cultural Events must be open to the entire Inspiration Community and will be advertised on the Inspiration Weekley Newsletter prior to the event date.
- The event must have a minimum attendance of 50 residents. The Association will publish the reservation link four weeks before the event, and if the minimum number of attendees is not met at least fifteen (15) days in advance of the event, the event will be canceled.
- Only Inspiration Residents are allowed to attend the Cultural Event; no outside guests are permitted and will forfeit Security Deposit.
- No profit gathering/sharing or ticket sales of any type are allowed before, during, or after the reservation has been completed.
- Any sponsorships obtained must be provided by a business and approved by Association staff and the Board of Directors before the collection of funds.

Payment

A check must be brought into the association office for the Security Deposit. No reservation will be confirmed until deposit has been received. *CHECKS WILL BE CASHED AT THE TIME OF RESERVATION.
I have read and understood the check must be received to finalize my Cultural Event Rental Request. And, nothing is confirmed until an email is sent finalizing the Board of Directors has approved the request after the next Board of Directors meeting.
Looking Ahead the week before the rental, an email will come from the Association Team with a reminder of the rules and the following steps to begin the refund process.
