    • You will require three separate email addresses to test this form. The email you use as the MTI applicant’s email must be a non-NHS email address.

  • PLEASE NOTE: The AoMRC will not accept applications submitted directly by the MTI {docapp}. This form must be completed by the NHS employer and/or the Royal College or other GMC sponsoring organisation involved with the application.

  • Part 1: Form selection and guidance

      Step one

      When the application form is first opened only part one and nine will be visible out of the grey tabs at the top of the page. You will need to complete section one and select “Start Application” to receive an automatic email containing a link to the Academy data consent form. This email must be forwarded to the MTI applicant so they can complete a data consent form which will automatically upload to their online application. You will receive email notification once the data consent form has been completed and an updated link back to the  application form. The Royal College, if involved, will also receive an updated link to the application.

       

      Please note: Once the application has been started by using the green "Start application" button a the bottom of part 1, the details on part 1 can no longer be altered. 
      Before starting the application, please ensure that you have correctly declared whether or not a Royal College or other organisation was involved with the application. 

      If incorrect information is given here, the entire application will need to be restarted. 

       

      Key points for step one

      ·         The details on page one cannot be amended once “submit application” has been selected

      ·         If a Royal College or any other GMC-sponsoring organisation is involved in the application process, even if they are not providing GMC sponsorship, this must be declared in the designated section of part one

      ·         Once “Submit Application” is selected, you will only receive a link to the application once the applicant submits their data consent form

      ·         The original form user will receive an email with an updated link to the application once the applicant completes the Data Protection Consent form

      ·         The Data Protection Consent form will automatically upload to the application but will not be visible to the form user

       

      Step two

      The updated link will provide access to parts one to nine of the application form. The details entered in part one can be viewed but amendments are not possible at this stage. Parts two to seven of the form need to be completed before the application progress can be saved.

      Part two and three - Enter details of the applicant’s, post and training.

      Part four - Upload evidence of Deanery approval. If Deanery approval has not yet been requested, it is possible to do so in part four. If the form user is not ready to upload this document, part four offers an upload later function.

      Part five - Upload evidence of GMC registration. If this document is not ready, part five offers an 'upload later' option.

      Part six - Enter funding information and upload evidence of funding if necessary

      Part seven – You can save your progress in part seven which will generate an automated email containing an updated link to the application form. If you are not ready to upload all the required documentation please select “No, there are still outstanding documents to upload” so you can save your progress and upload the documents later. Please note, you will not be able to progress past part seven without the required documents as listed in the checklist on part seven. When you are ready to upload the documents, please refer to the email containing the updated link to the application form. Once all required documents have been uploaded, select “Yes, I have uploaded all of the required documents” and a green “Continue to sign” button will appear at the bottom of page seven.

      Medical Personnel will receive a link to sign the form before the Supervising Consultant is sent a link to sign their section.

      Key points for step two

      ·         Locate the updated email link to access parts two to seven of the form.

      ·         You can save your progress once parts two to seven are completed.

      ·         The “Save Application” function is at the bottom of the page in part seven

      ·         Use the upload later function if you are not ready to provide the  required documentation

      ·         You can save your progress, but you will not be able to move past section seven if the required documentation as listed in part seven has not been uploaded.

       

      Step three

      Once all required documentation is uploaded, the Medical Personnel will be sent a link to sign section 8a of the form before the Supervising Consultant receives a link to sign section 8b. Please note, these links cannot be used to amend information on the application form, they can only be used to sign parts 8a and 8b. Once the form as been signed, an updated link to the application will be emailed to the person listed in section one “Email address of individual completing the form”.

      Section nine – Use the checklist in this section to ensure all the required details have been provided before selecting “submit for final review”. If there has been no involvement from a Royal College then the application will be sent to the person listed in part one to approve the information and submit it to the AoMRC. If a Royal College has been involved, then the application will be sent to them for a final review. The Royal College will approve the application before submitting it to the Academy.

      Key points for step three

      ·         The Medical Personnel and Supervising Consultant will only receive a link to sign their sections once all required documentation has been provided.

      ·         Once the form has been signed, an updated link will be emailed to the person listed in part one “Email address of individual completing the form”.

      ·         The “Submit the application for a final review” from part nine

      ·         If a Royal College is involved, the application will be sent to their team for a final review who will submit the form to the AoMRC. If amendments are required, the Royal College will request these from the hospital through the “request more information” function before submitting the applicaiton to the AoMRC.

      ·         If there has been no involvement from a Royal College, the application will be sent to the person listed in part one for a final review. This person is responsible for submitting the application to the Academy. If amendments to the application are required at this point, please use the link in the final review email.

      ·         The application is submitted to the AoMRC by selecting the green “Approve and submit to AoMRC” button at the bottom of the email containing the final application.

      • When a Royal College or other sponsoring organisation has requested more information for the application, this is now clarified and specifies the organisation who requested the information.
        • This should help reduce confusion caused when a request comes through and it isn't clear whether the request came from the AoMRC or another organisation
        • The email that is sent when the AoMRC requests more information has also been clarified to this effect
      • Added additional wording to the WTS email clarifying the expiry of BRPs and requirement to make a UKVI account to access the new eVisa

      • Fixed an issue where the "IHS Refund" email was sending the wrong link to MTI applicants.

        • The old integrated form linked to the previous application form has now been disabled
      • Added a new warning in Part 5 when there is no Royal College declared on part 1, but it is indicated that a Royal College is providing GMC registration.
        A Royal College should only be included on Part 5 if the doctor is undergoing GMC registration during the MTI application process.
        • If the applicant has already obtained registration before starting the MTI application process, please indicate that they are already registered and do not provide information on how they obtained this registration.
      • Added to the guidance in Part 1 as well as a new warning message at the bottom of Part 1 to reinforce the importance of ensuring that the Royal College information entered on part 1 must be accurate or we will reject the application and it will need to be started from scratch.
      • Inserted the AoMRC MTI email address to the MP/SC signature steps in order to more accurately keep track of any issues regarding these steps.

      • Fixed a logic loop in the Deanery approval forms which caused confirmed reapprovals to not be automatically sent to the employer

      • Due to issues with doctors recieving the automated IHS refund email, the backend has been redesigned for all processes after the AoMRC accepts an application.
      • Added the option to add an additional email address to be included in all automated emails. This will allow Royal Colleges to run an application but still keep the UK employer in the loop, as well as providing a backup email address in case of staff absence.
      • Added additional logic to the documents question on Part 7 to ensure an application can't be submitted without all the required documents

    • General tips and troubleshooting advice 
    • 1. Too many emails? Throughout the process, all email addresses added to the form will receive automated notifications. If you find the volume of emails is too high, our recommendation would be to apply your own inbox filters. All emails that notify form users that further action is required will have a subject line beginning with "ACTION REQUIRED:", whereas general notification emails have a subject beginning with "Notification:". We strongly recommend you do not apply filters to the former, but you may wish to filter the latter out of your main inbox.

      2. Not receiving emails? If you or anyone else involved in an application are not receiving any email auto-responses, our first recommendation would be to contact your IT department to inquire if emails from mti.noreply@aomrc.org.uk are being filtered or marked as spam.

      3. Form not allowing you to submit? The form is designed to prevent submissions before all the required information has been entered. If you would like to submit an application once the Medical Personnel and Supervising Consultant have both signed, make sure you revisit each section of the application to ensure all the requested information has been provided, including any additional documentation.

      • Deanery approval for the extended placement. We cannot accept the approval from the original placement period and the date of approval must be within 6 months of the doctor's work start date.
      • For placements not fully funded by an NHS employing organisation, we must receive an updated funding letter for the extended placement.

      • A verified copy of the doctor's Right to Work Profile. Please note that if this is not the doctor's first Extension, this must be the Profile for their latest TW GAE visa.

    • PLEASE NOTE: it is absolutely essential for the Royal College for the MTI {docapp}'s specialty to be listed on this application if they are involved in one or more of the following capacities:

      • Providing GMC sponsorship to the {docapp}
      • Assisting the MTI doctor in finding their NHS post
      • Assessing their qualifications and eligibility for the MTI scheme

      If the MTI {docapp}'s Royal College is not provided, this application will need to be restarted. This information cannot be added to the form at a later date.

  • Important guidance on Deanery approval:

    • MTI posts must have been approved within six months of the MTI {docapp}'s work start date. If the start date is delayed before applying for their visa, the Deanery approval must be within six months of the new work start date.

    • The length of the Deanery approval must match the length of the MTI placement.

    • We can only accept Deanery approval via the online AoMRC Deanery approval systems. We cannot accept approval via email or any other organisation's online system.

    • Once the Dean has approved the post, the person who requested the approval will receive an email containing a link to complete the rest of the form. Please do not upload the "Dean’s copy" of the approval form. 

    • Updated Deanery approval is required for all applications, including visa extension applications.
  • If you wish to use the pre-filled (integrated) Deanery approval form, please answer "No" to the two following questions. Once you submit this form on Part 7, you will receive and automatic email with further instructions.

    If you have not yet obtained Deanery approval, but do not wish to use the integrated system, please answer "No" to the first question, then "Yes, I have already requested Deanery approval" to the second question and you will be able to add this information at a later date. 

  • The Integrated Deanery approval system will take information directly from this form and automatically populate the Deanery approval form with this information when you follow the link to the integrated approval form sent to you in the automated email once you save the application on Part 7.

  • Part 5: Route to GMC Registration

  • Doctors wishing to practise in the UK must be registered with the GMC. We require
    documentary evidence of GMC registration with each new MTI application. This may be one of the following:

    • GMC Certificate.
    • GMC registration letter.
    • A copy of the email from the GMC inviting the doctor for an ID check, which must state that the doctor's registration and license to practise is subject to the ID check and must clearly show both the GMC's and MTI applicant's email addresses.
  • Instructions to upload evidence of GMC registration and licence to practise at a later point:

    If you have selected "I would like to upload evidence at a later point" to the above question, you will still be able to save the application in Part 7.

    You will not be able to submit this application to the AoMRC until the requested information has been provided.

    When you have provided evidence and all the requested information, please select "I am ready to provide evidence of GMC registration and licence to practise" to the above question.

     

  • In Part 1 you have indicated that no organisation other than the UK NHS employer has been involved with this application, but you have declared that an organisation other than the UK NHS employer is sponsoring the MTI applicant for their GMC registration.

  • For information on the funding of MTI placements, please refer to the MTI Explanatory Notes section of our website.

  • Funding to support an MTI post can come from any source other than the MTI {docapp}'s own funds. Examples of funding sources include the employing NHS organisation or a funding organisation from the MTI applicant's home country, such as a university, hospital or government.

    All MTI {docapp}s who are not being funded by their NHS employer must provide evidence of sufficient external funding as part of their MTI application.

    You will not be able to request signatures from the Medical Personnel and Supervising Consultant until all outstanding documentation has been added to the application.     If you believe that this has been completed, please follow these steps:

    1. Ensure that you have indicated that you are ready to submit documents on Part 4, Part 5 and Part 6.

    2. Ensure that, in Part 7, you have indicated that you have provided all the requested information for the form

    3. Ensure that the Medical Personnel is using the unique link emailed to them, as no other link to the form will activate Part 8a.

  • Please return to "Part 1: Form selection and guidance" using the grey tabs at the top of the form and use the green "Start Application" button at the bottom to begin the application.

  • Fields will appear on this page once the Medical Personnel and Supervising Consultant have both signed the application.

  • Evidence of Deanery approval is still required for this post. Please return to Part 4 of this form and follow the instructions.

  • Documentary evidence of GMC registration and licence to practise is still required. Please return to Part 5 of this form and follow the instructions.

  • Once you click "Submit for final review", an email will be sent to {rcemail}. They will conduct a final review of the application and then submit it to the AoMRC.

     

    Please note that the AoMRC endeavour to review applications within five working days of submission. If the AoMRC approves the application, we will assign a CoS within five working days.
