    For Troop Overnights (1 night) or Short Troop Trips (2-3 nights) use Form 585 and complete 4 weeks before your trip.

    Welcome to the online submission system for a request to travel &/or partcipate in an extended overnight trip (4+ nights). Thank you for your commitment to providing new experiences for girls in your community.

    Be sure to complete this form BEFORE finalize plans.This form is used to ensure all participants are safe by following Girl Scout safety protocols while participating in overnights of 4 nights or more, out of state, or international trips.

    Once completed you will recieve a primiliary approval to continue planning of the trip. In this email you will also recieve information on the forms needed to be completed before the trip, and timeline of completetion. 

    We appreciate your efforts to follow the GSEOK Volunteer Policies and Procedures, Volunteer Essentials, and Safety Activity Checkpoints to keep everyone safe.

  • Before you Begin

    Before you begin, please ensure you are properly prepard by having the following informaiton ready.
    • Troop numbers of all the troops participating in the activity
    • Names, phone numbers, and e-mail addresses of two volunteers responsible for this activity.
    • First Aider name and certification (you will need to upload a copy of certification to email)
    • Beyond the Meeting trained Volunteer name
    • Troop Camper 2 Trained (or equivelent) name *if your trip includes camping
    • Number of volunteers and youth members (and their level) attending the activity.
    • Dates of the extended trip.
    • Read the Safety Activity Checkpoints, which lists the "high risk" and other high adventure activities, to know if "evidence of insurance" is required and request a Certificate of Liability from vendors as needed.
    • Mode of transportation(s) during the extended trip
    • Activites you are thinking about doing. Some may required more information such as "evidence of insurance" or Cetificate of Liability from vendors. Council will follow up with you on what is needed for each acitivty.

  • Safety Activity Checkpoints

  • It is important that you review the Safety Activity Checkpoints related to your planned activities and share this information with the Girl Scouts, their families, any program partners or vendor locations you may be working with. Safety Activity Checkpoints include information on the appropriate grade level (Junior, Cadette, etc) for safe and appropriate participation. Younger Girl Scouts should not participate in activities recommended for older level Girl Scouts. Always refer to the Safety Activity Checkpoints for more information on the level of appropriateness for your activity. Your approval is dependent on GSEOK's review of this information.

    If Safety Activity Checkpoints do not exist for an activity you and the girls are interested in, contact Customer Care at 918-749-2551 or customercare@gseok.org before making any definite plans with the girls.

  • Basic Information

  • All activities require a minimum of two unrelated, approved GSEOK volunteers, at least one of whom is female. An approved GSEOK volunteer has a current Girl Scout membership and current background check completed with GSEOK.

    Please provide the information of the second, unrelated, approved GSEOK volunteer who has committed to be additionally responsible for this trip.

    Because a copy of this form will be emailed to this volunteer, be sure they have accepted this responsibility and have already completed all steps to be an approved volunteer.

  • By Signing Below I understand and agree to the following rules: 

    • All participants on the trip are Girl Scout of Eastern Oklahoma registered members
    • All accompanying adults have current and eligible backgrounds on file with Girl Scouts of Eastern Oklahoma
    • Council must approve all money-earning activities
    • Additional Forms will be required, trip lead will receive additional forms and due dates after initial approval has been given
    • Trip lead will review Safety Activity Checkpoints, Volunteer Essentials and adhered to all rules
    • Parents have been informed of trip and have given permission for Girl Scout to attend. A parent meeting will be held detail all particulars on the trip regarding plans and safety precautions/emergency procedures.
