    The Village NZ/Wright Family Foundation Terms of Engagement.

     
    These terms outline the expectations and responsibilities for self-employed educators/partners/service providers who contract to The Village NZ/Wright Family Foundation.  


    By participating in The Village NZ’s initiatives and online hub, educators/partners/service providers agree to operate within the values of the organisation, maintain professionalism, and contribute positively to our mission of supporting families during the first 1,000 days of parenthood.   


    Proudly supported and fully funded by the Wright Family Foundation, this funding is open until March 31, 2026. All funded resources, events, courses and any other agreed upon material must be underway by March 31, 2026 to receive this funding.  


    This funding applies to resources, events, courses and any other agreed upon material that are fully free of charge to participants, all costs must be fully free to those participating in the education provided by this funding.  


    This form has been updated to reflect our most current funding requirements and is current as of 20 November 2025. 

  •   1. Commitment to The Village NZ Values 

    • Community Building: Educators are expected to actively foster a welcoming, inclusive, and supportive environment for families. 
    • Collaboration: Engage respectfully and constructively with parents, caregivers, and other professionals in The Village NZ hub. 
    • Empowerment: Support parents and caregivers with evidence-based information and practical guidance to build their confidence and resilience. 
    • Free: This funding applies to resources, events, courses and any other agreed upon material that are fully free of charge to participants, course costs must be fully free to those participating in the education provided by this funding. 


    2. Participation in The Village NZ Hub 

    By agreeing to these terms, you agree to, in the best way you can, participate and contribute to The Village NZ hub.

    You can do this by: 

    • Joining The Village NZ Educator Space: This is a private space where you can share and chat with fellow educators on The Village NZ hub.
    • Attending a Village NZ Hub onboarding training session: An online session hosted by a Village NZ team member.
    • Active Engagement: Creating your own event for your class/course or share your resource in the relevant education space. Regularly contribute to The Village NZ hub by posting your free events, sharing resources, starting or joining discussions, and responding to member queries within your area of expertise. 
    • Resource Sharing: Post relevant, evidence-based resources such as articles, videos, or tools that align with the needs and interests of the community. 


    3. Operating Within Your Scope of Practice 

    • Evidence of Training: Provide The Village NZ with your most up-to-date evidence of your registration/qualification relevant to your service delivery (where relevant).
    • Professional Boundaries: Only provide advice, guidance, or information within your certified area of expertise. 
    • Referrals: Direct members to other professionals or resources if queries or concerns fall outside your scope of practice. 
    • Continuous Learning: Stay informed about the latest research and best practices to ensure accuracy and relevance in all interactions.

     
    4. Following Best Practice Guidelines 

    • Evidence-Based Information: All advice, resources, and guidance must be grounded in current, reputable research and reflect established best practices in antenatal education and parenting support. 
    • Inclusivity and Sensitivity: Use language and approaches that respect cultural, social, and personal diversity. 
    • Non-Judgmental Support: Provide unbiased and compassionate support to all.


    5. Adhering to The Village NZ Communication Guidelines 

    • Respectful Communication: Maintain a professional and supportive tone in all interactions, both online and in person. 
    • Confidentiality: Respect the privacy of members and ensure any shared content is relevant, respectful, evidence based. 
    • Physical and Emotional Safety: Ensure that your practices and advice prioritise the physical and emotional wellbeing of parents, caregivers, and children. 
    • Digital Safety: Use The Village NZ hub responsibly by protecting member data and adhering to platform guidelines. 
    • Promotion: All promotions of these free resources, events, courses and any other agreed upon materials must include “Fully funded by The Village NZ - a Wright Family Foundation initiative” along with the logos attached in The Village NZ brand kit. All social media posts related to this funding should add 'The Village NZ' as collaborators to cross-post.   


    6. Administration and Participation in Feedback and Evaluation 

    Educators/Providers will administer the enrolment of classes/courses/resource delivery/events in their communities themselves, including the seeking out and organisation of venues. 


    Each enrolment form will include a disclaimer that clearly notifies each participant that their enrolment information will be shared with The Village NZ/Wright Family Foundation. 


    Educators/Providers agree to send the enrolment information of each resource, event, course and any other agreed upon material to The Village NZ 14 days prior to course/event start date via the completion of the relevant application form.

    1. The Village NZ Perinatal Education Course application form OR 
    2. The Village NZ Perinatal Education Event and Resource application form

    Approval is not guaranteed; each registration form will be reviewed on a case-by-case basis.


    This data will be owned by The Village NZ/Wright Family Foundation. 

    This information must include: 

    1. Name and description of course/class/event or resource 
    2. Dates of course/class/event
    3. Venue name, address and cost 
    4. Mode of delivery (online or in-person) 
    5. Link to your enrolment/registration form 

     

    • Promotion: Each educator will promote upcoming course/class, or event/resource delivery within their network and share this promotion with The Village NZ team. 
    • Community Feedback: Actively seek and consider feedback from members, using this to improve services and interactions.  
    • Evaluation: Educators/Providers agree to participate in periodic reviews or evaluations conducted by The Village NZ/Wright Family Foundation.
    • Participant evaluation forms: must be completed where reasonable at the final session of the course/event or at the next available opportunity, where each educator/provider guides the participants to complete this evaluation form.
    • Collaboration on Improvements: Work with The Village NZ/Wright Family Foundation team to implement changes or enhancements based on feedback and evaluation outcomes. 


    7. Intellectual Property Ownership and Co-Ownership Clause: 

    Any content, material, or intellectual property created as a result of using this fund shall be co-owned by The Village NZ/Wright Family Foundation and the creator. By accepting the fund, recipients acknowledge and agree that all rights, including copyright and any associated intellectual property, will be jointly held by The Village NZ/Wright Family Foundation and the creator, in accordance with the Copyright Act 1994 and the Contract and Commercial Law Act 2017. Any use, modification, or distribution of the content shall require mutual agreement between the co-owners. 


    8. Conflict of Interest and Professional Boundaries 
    The Contractor agrees to avoid any actual or perceived conflict of interest that could compromise their ability to act in the best interests of The Village NZ/Wright Family Foundation. This includes personal relationships, business interests, public commentary, or external activities that may impact their role or appear to influence decisions made on behalf of The Village NZ. 

    Contractors must disclose any potential conflicts to The Village NZ/Wright Family Foundation as soon as they arise. The Village NZ may take steps to manage or resolve the situation, including adjusting duties or ending the engagement if needed. 
    The Contractor also agrees to maintain clear professional boundaries, avoid promoting personal opinions or unrelated work through their role, and ensure that any public-facing content reflects the values and integrity of The Village NZ. 

    Communications: No party may make public statements, speak to the media, or otherwise represent The Village NZ/Wright Family Foundation in any public forum without prior written consent. All official communications must be approved through the appropriate internal channels to ensure consistency, accuracy, and alignment with The Village NZ’s values and messaging. 


    9. Acknowledgement of Independent Contractor Status 

    • Self-Employment: Educators/Providers operate as independent contractors and are responsible for managing their own tax, insurance, and professional development obligations. 
    • Accountability: While working independently, educators/providers are accountable for adhering to these terms of engagement and contributing positively to The Village NZ. 
    • One invoice must be sent per course/class, event/resource and any other agreed upon material, after the end date of completion, emailed direct to: accounts@wrightfamilyfoundation.org.nz with the following information:

     

    1. Invoice addressed to Wright Family Foundation
    2. Your full name and address
    3. Business name and GST number if applicable 
    4. Contact email 
    5. Name of course/class, event/resource
    6. Number of participants attended course/class or event. 
    7. Relevant GST receipts for agreed expenses such as refreshments. 
    8. Confirmation of bank account details 
    9. Venue invoice with proof of cost and date of course/class. This is required for full reimbursement by The Village NZ/Wright Family Foundation. Venue costs will be reimbursed to a reasonable amount; we encourage you to seek out free community venues where possible.

    By engaging with The Village NZ/Wright Family Foundation, you agree to uphold these terms, contribute to our shared vision, and ensure a high standard of professionalism and care in all your interactions.

    This form must be completed 14 days prior to your first course/class, event/resource and any other agreed upon material.

    Applications are reviewed within 14 days of submission. Once your application is accepted and confirmed via email you may proceed with promoting or delivery under this funding from The Village NZ/Wright Family Foundation.
