• Fall Product Coordinator Agreement & Financial Responsibility

    This agreement must be completed before a product program role will be added to your myGS account. This agreement is valid for the 2026 Fall Product season.

      Qualifications:

      • Ability to dedicate time needed to conduct Service Unit activities and trainings of the Fall Product Program from August to November.
      • Ability to interpret, support and assist others in the objectives of the program.
        Strong computer skills and ability to direct others.
      • Ability to communicate and cooperate with adults from diverse backgrounds.
      • Ability to motivate Troop Fall Product Coordinators and problem solve in a positive manner.
      • Has no outstanding debt with Girl Scouts of Middle Tennessee.
      • Registered as a Girl Scout–approved adult (18+) and has a current and eligible criminal background check on file with Girl Scouts of Middle Tennessee.

      Prerequisite: Coordinators must complete the Fall Product Coordinator Agreement & Financial Responsibility form before receiving any program materials.

      Principal duties and responsibilities:

      Please refer to the Fall Product Program Manual for more detailed program assistance.

      Training and Meetings

      • Attend Council Fall Product training. In-person and online vendor training are both available; one format is required.
      • Attend monthly Service Unit meetings throughout the duration of the Fall Product Program.

      Deadlines and Communication

      • Meet all deadlines set by Council for the Fall Product Program.
      • Communicate all program dates and deadlines to Troop Fall Product
      • Coordinators and ensure entries are completed on time.
      • Maintain regular contact with Troop Fall Product Coordinators throughout the program; monitor for problems and successes.
      • Notify the Product Programs Department of any questions or concerns that arise.

      Troop Setup and Support

      • Distribute troop materials to Troop Fall Product Coordinators once they have submitted their Troop Agreement Form.
      • Host Fall Product training for Troop Leaders in the Service Unit.
      • Host a Fall Product Rally at the SU level, or provide support for hosting at the troop level.
      • Assist Troop Fall Product Coordinators with program procedures and their specific responsibilities throughout the program.

      Orders and Delivery

      • Secure a delivery point for the Service Unit order delivery.
      • Verify troop entry of fall product orders and reward orders in M2 by all applicable deadlines.
      • Distribute fall product orders to troops; obtain a signed Delivery Ticket receipt from each troop.
      • Maintain all signed receipts for Council records.

      Rewards

      • Receive shipment of troop rewards and distribute to Troop Fall Product Coordinators in a timely manner.

      General

      • Assist the Product Programs Department as needed.

      • Schedule a meeting to inform the troop and families about the Fall Product Program and procedures.
      • Obtain written or electronic permission from the caregiver of each Girl Scout participating in the program, using the form provided by Council.
      • Maintain regular contact with the Service Unit Fall Product Coordinator throughout the program; notify the SU if questions or concerns arise.

      Girl Scout Guidance

      • Guide Girl Scouts as they set goals to carry out their planned activities.
      • Discuss and encourage teamwork, leadership, communication skills, and money management with the Girl Scouts.
      • Stress safety as outlined in Volunteer Essentials and GSUSA safety guidelines
      • Communicate to the troop and caregivers that once received, product inventory cannot be returned to the troop or Council.
      • Communicate the melted candy policy to troop caregivers; understand that melted candy cannot be replaced due to mishandling of product.

      Orders and Delivery

      • Confirm that Girl Scout orders are entered into the fall product system (M2) by deadlines. Caregivers will enter paper orders for their Girl Scout.
      • Pick up the troop's product order from the delivery site and promptly distribute to Girl Scouts and caregivers.
      • Obtain caregiver signatures for receipt of any product and/or money.

      Rewards

      • Verify and submit final reward orders by deadlines.
      • Obtain rewards from the Service Unit Fall Product Coordinator and distribute to Girl Scouts.
      • For troops opting out of rewards: ensure each troop member's caregiver has signed and agreed to the opt-out through the Product Program Caregiver Permission and Responsibility Form. If the decision is not unanimous, and the Troop Coordinator opts out against the troop's wishes, the Troop Coordinator is responsible for purchasing rewards from a third party vendor.

      Financial

      • Deposit all money collected into the troop checking account promptly.
      • Understand that all monies due to Council will be collected from troops via ACH pull.
      • Understand that any returns due to non-sufficient funds (NSF) will be the responsibility of the troop for the NSF fees applied from the bank(s).
    • The Council Agrees To: Provide training, all materials and ongoing support through trained volunteer leadership.

    • By checking each box, you acknowledge each statement as it relates to the position of Troop Fall Product Coordinator:
    • Once you fill out this form, and you have at least one Girl Scout fill out the Fall Product Caregiver Permission & Financial Responsibility form, you will begin to receive an email detailing the Girl Scouts who have fillout out the form as well as the results of the reward opt out vote.

      You can unsubscribe to these emails once you receive one, but it will be the only way to view who has filled out the form.

      • Obtain electronic permission from the caregiver using the form provided by Council.
      • Maintain regular contact with the Service Unit Fall Product Coordinator throughout the program; notify the SU if questions or concerns arise.

      Girl Scout Guidance
