Following are the principal duties and responsibilities of the position. Please refer to the Program Manual for more detailed steps of the Fall or Cookie steps for the program specifics for the vendor software.
Principal Duties and Responsibilities:
- Plan and conduct a safe, fun, and successful fall/cookie product program.
- Guide girls as they set goals to carry out their planned activities.
- In coordination with the leader, schedule and conduct training
for girls and their parents/guardians on the mechanics of the fall/cookie product program.
- Discuss and encourage teamwork, leadership, communication skills, and money management with the girls.

- Meet all deadlines set by council.
- Will be available for the candy delivery in October or have a representative for the troop.
- Will be available for the fall/cookie delivery (refer to the SU/Troop manuals or gsmidtn.org website for dates) or have a representative for the troop.
Product Coordinator Administrative Duties:
- Service Unit - Will secure a delivery Location and coordinate all troops to pick up all items in a timely manner.
- Service Unit Coordinators will ensure all dates and deadlines are communicated to troops and entries are completed on-time.
- Troop/SU level - Able to attend program training conducted by Council or vendor (online training).
- Troop/SU level - Will complete a SU/Troop Product Coordinator Appointment Letter & Financial Responsibility before receiving materials.
- Troop/SU level - Understand that melted candy cannot be replaced due to mishandling of product. Will communicate such with the troop/parents/guardians.
- Troop/SU level - Will confirm girl orders are entered into the system by deadlines. (Parents/guardians will enter paper orders for their Girl Scout into the fall product system)
- Troop/SU level - Will verify and submit the final rewards, obtain rewards from the SUPC, and distribute to the Troop/girls.
- Troop Level - For troops opting out of rewards, the Troop Coordinator will ensure each troop member's parent or guardian has signed and agreed to the opt out through the Product Program Parent/Guardian Permission and Responsibility Form. Otherwise, Troop Coordinator is responsible for purchasing rewards.
- Troop Level - Will pick up the troop’s product order from the delivery site and promptly distribute to Girl Scouts and parents/guardians and obtain signatures from parents/guardians for receipt of any product and/or money.
- Troop Level - Will schedule a meeting to inform troop/families about the Product Program and Product Program procedures, obtain written/electronic permission from the troops/parents/guardians of each Girl Scout participating in the Product Program on the form provided by the council, and stress that once received, product inventory cannot be returned to the troop or the council.
- Troop Level - Must deposit all money collected into the troop checking account promptly.
- Troop Level - Understand that all monies due to council will be collected from troops via ACH pull. Any returns due to non-sufficient funds (NSF) will be the responsibility of the troop for the NSF fees that are applied from the bank/s.
- Troop Level - Will notify the SU if questions or concerns arise.
