People of Motueka Photography Competition — Minor Photographer Entry & Copyright Release Form (under 18yo)

his competition is open to photographers all ages. This form is for entries submitted on behalf of a photographer under 18 years of age. If the photographer is 18 or over, please use the standard Adult Entry Form instead.
This form must be completed by a parent or legal guardian on behalf of the minor photographer. By submitting, you confirm you have the authority to enter on the minor's behalf and that the minor has been involved in and consents to this entry.

Please complete one form per category. You may upload up to 3 photos within the same category entry. If entering multiple categories, please complete a separate form for each.

Before you start, make sure you have:
✔ Collected a signed consent form for every person whose face is clearly visible in your photo(s)
✔ Adult consent forms (over 18)
✔ Minor consent forms (under18 - to be completed by a parent or guardian)
✔ Downloaded the PDF of each completed consent form

• The photographer who took the photo
• The copyright owner 
• Authorised to submit on behalf of the copyright owner (for example, a representative of a school, sports club, or community organisation)

By completing this form, you confirm you are acting with the authority to submit this photo and accept responsibility for all consent obligations.

Your photo title and description might be displayed publicly as part of the competition. Please do not include personal information such as full names, addresses, or contact details in your description.

As parent or legal guardian, you are signing this release on behalf of the minor photographer. The minor photographer retains full copyright ownership of their photo(s).

By signing this form, I confirm that:

• I have read and agree to the People of Motueka Competition Guidelines, including the rules around originality, copyright, AI, consent, safety, and the permitted uses of submitted photos.

My child's photo

• The photo(s) submitted are the original work of the minor photographer named above.
• I (or any other person) have not used AI tools to generate, significantly alter, or edit in any way this image.
• This photo has not been submitted to another competition where exclusivity is required.

Copyright

• As parent or legal guardian, I have the authority to submit this photo on behalf of the minor photographer and to grant the licence below.
• I confirm the child is the copyright owner of this photo, or has the right to submit it under these competition terms. The minor photographer retains full copyright ownership of their photo(s).
• I grant Glasgow Harley a non-exclusive, royalty-free licence to display, reproduce, and publish this photo for the following purposes:
  • The People of Motueka online gallery and public voting
  • Physical exhibition at Motueka Library (approximately 2 weeks)
  • The People of Motueka art trail across selected Motueka and wider district venues
  • Permanent display at Glasgow Harley's Motueka office
  • Glasgow Harley’s website, social media, newsletter, and other communications related to the competition and Glasgow Harley’s community initiatives
  • Press and media coverage related to the People of Motueka competition and Glasgow Harley's community initiatives
• When the minor photographer turns 18, they, or you on their behalf, can ask us to remove their photo from our own displays and channels, and we will take reasonable steps to do so.
• Glasgow Harley will not sell, licence, or transfer my photo to any third party without my written permission.

People in the photo(s)

• I have obtained written consent from every identifiable adult in this photo, and from a parent or legal guardian for every identifiable child under 18 other than the photographer.
• I have uploaded a signed consent form for each person as required. 
• Glasgow Harley will not publish any photo without a matching consent form for every identifiable person appearing in it.
• Any child other than the photographer appearing in this photo does so as part of a group or family scene — not as the sole or main subject.
• I have taken reasonable care not to include unnecessary identifying information about any child in the photo, such as a school uniform, address details, residential home facade or other sensitive personal information.
• I understand Glasgow Harley will review all photos before displaying them publicly and may contact me if further information is needed.
• If a person shown in your photo later withdraws their consent, we may need to remove the photo from display. We will contact you if this affects your entry.

Judging Panel

• I understand that submitted photos will be reviewed by an independent judging panel. All judges are bound by a confidentiality agreement and may not copy, save, or share any photos they review.

My responsibility

• I accept full responsibility for obtaining all necessary consents from people appearing in this photo.
• Glasgow Harley accepts no liability for any privacy breach arising from incorrect or missing consent information provided by me as the submitter.

My personal information

• I understand the photo title and description might be displayed publicly as part of the competition.
• My contact details will be stored securely by Glasgow Harley and used only for competition administration.
• Glasgow Harley will handle all personal information in accordance with the New Zealand Privacy Act 2020.

In this form, Glasgow Harley means the Glasgow Harley legal practice as it is constituted from time to time, and includes any entity that succeeds to or carries on that practice, including any incorporated firm. The permission or licence you give in this form enures for the benefit of that entity.

Glasgow Harley collects the information in this form to administer the People of Motueka Photography Competition. Your personal information and the minor photographer's information will be stored securely and used only for competition administration and the purposes described above. The minor photographer's first name and age are the only personal details collected — their full name and contact details are not required.
